VOYAGER QUILTERS II ORGANIZATIONAL CHART    
Amended November, 2007

Purpose:  Preserve heritage of quilting,
             Teach, share, and maintain high quality workmanship
             Have fun
             Serve Charities
All positions run from October 15 to October 15.  Due to the cyclical nature of Voyager RV Resort, no major decisions will be made concerning the group during the summer months.  If officers are not present at Voyager Resort in October, they should notify a substitute to stand in for them until they arrive.

Elections:  Assistant Coordinator(s) will notify by January 30th if she/they will be accepting the position of coordinator(s) for the coming year.  Coordinator(s) has/have the option to pick Assistant Coordinator(s) with no commitment beyond the one-year. If coordinators do not wish to continue after one year, a nominating committee will be named on the 1st Monday in February.  At the first meeting in February each year, a nominating committee is chosen, consisting of 4-6 members. An election will be held the third meeting in February to elect new coordinator(s).

Committees:  Committees are renewed yearly.  Serving on a committee is not limited to people living in the park for most of the season.  “Short-term” residents are necessary on committees for input balance. Each committee should be represented at Steering Committee Meetings to help plan, coordinate, and carry out activities.  Chairmen of committees are encouraged to write recommendations for the following year and to forward them to new/continuing chairmen.

  • Preside weekly over Monday Quilters II Meeting
  • Conduct “Steering Committee” meetings as needed with assistant coordinator(s), treasurer, secretary and chairmen of committees
  • Determine agendas
  • Work with Activity Office
  • Use Quilters II Newsletter to keep organization informed; file Newsletters for future reference Record yearly additions/deletions to by-laws
  • Share clean-up/close up room with other Coordinators

  • Assist coordinators as needed
  • Manage fabric/supply cupboards; notify treasurer of supply needs: supervise process of moving quilt tops to finished quilts
  • Research and report charity needs/requests
  • Select finished projects to distribute
  • Record donated items; work with Photographer/Historian to maintain yearly inventory of donations; maintain list of charities
  • Arrange for distribution of finished quilts

  • Supervise Purchasing Form Requests
  • Oversees care of group funds and provides updates to Steering Committee
  • Assists in duties regarding inventory and supplies
  • Selects 2 members to assist with purchasing supplies

  • Supervise quality of workmanship and materials being used to produce quilts

  • Organizes HQ16 classes
  • Oversees maintenance of HQ16; organizes/purchases materials/tools used with HQ16 machine
  • Collects fee for quilting personal quilts on the HQ16 machine
